Amanah Talent Ltd ("we", "us", "Amanah Talent") operates a recruitment marketplace connecting UK care providers with pre‑vetted healthcare professionals. We take the protection of personal data extremely seriously, particularly the sensitive documents that healthcare candidates entrust to us. This statement explains what we collect, why, and how we keep it secure. It should be read alongside our Privacy Policy.

Who is the data controller?

What we collect from candidates

• Identity and contact details (name, email, phone, location).
• Professional information (CV, role, experience, qualifications, references).
• Compliance documents you choose to provide, which may include DBS / Enhanced DBS certificates, Right‑to‑Work evidence, nursing or care certifications, and training records.

Lawful basis for processing

We process candidate data on the basis of your consent (given when you register and submit your details), and our legitimate interest in operating a recruitment service. Where special‑category or criminal‑records data (such as DBS information) is involved, we process it only with your explicit consent and for the purpose of employment suitability checks, as permitted under the Data Protection Act 2018.

How your data is secured

• Encryption in transit: all traffic is served over HTTPS/TLS.
• Access control: sensitive contact details and compliance documents are never shown publicly. They are released only to a verified, authenticated employer account after that employer has been approved and has unlocked the specific profile.
• Employer verification gate: new employer accounts are held as pending approval until we manually verify their organisation (e.g. CQC registration / company details) before any candidate contact data can be accessed.
• Least exposure: public candidate listings contain professional summary information only — no email, phone, or document links.
• Authenticated, time‑limited sessions and server‑side authorisation checks gate every request for private data.

AI‑assisted processing

With your explicit consent (given during registration), we use artificial intelligence to assist our recruitment process: an AI assistant collects your registration details conversationally, and AI reads the CV and compliance documents you upload to extract relevant information, check document types, and generate a profile‑completeness ("readiness") score and summaries for our recruiters. This AI processing is performed by Anthropic (our AI model provider) acting as a data processor; document content is submitted to their API solely to perform the analysis and is not used to train their models. Every AI‑generated result is reviewed by a human recruiter before any decision is made — no decision producing legal or similarly significant effects is made solely by automated means. Readiness scores are guidance about profile completeness only and are never a guarantee of employment. You may withdraw consent or request human‑only processing at any time by emailing info@amanahtalent.co.uk.

Who we share data with

Candidate professional profiles are made available to approved employer accounts on the platform. Full contact details and documents are disclosed to an employer only when they unlock a specific profile. We do not sell personal data. We use a small number of trusted processors (hosting, email delivery, payment processing, and AI document analysis) under appropriate data‑processing terms.

How long we keep data

We retain candidate data for as long as your profile is active and for a reasonable period afterwards to meet legal and operational obligations, after which it is deleted or anonymised. You may ask us to remove your data at any time.

Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict, or object to the processing of your personal data, and the right to data portability. To exercise any of these, email info@amanahtalent.co.uk and we will respond within one month.

Complaints

If you have concerns about how we handle your data you can contact us first, and you also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
